Basic Function and Responsibilities
Provide administrative and office support services to the Student Life and Campus Inclusion department in addition to helpful guidance for students, employees, and community members. Exercise discretion in the handling of confidential records and appropriately apply established policies and procedures while providing excellent customer support.
Characteristic Duties and Responsibilities
- Support Student Life and Campus Inclusion through front-desk operations by serving as a primary point of contact for students, staff, and community members; provide accurate information regarding departmental services, programs, and college resources. (15%)
- Provide administrative support to the Office of Student Life and Campus Inclusion, by processing reimbursements through invoices and vouchers, and keeping record of payments for students, staff, and vendors. 20%
- Coordinate and support student Clubs and Organizations by maintaining recognition documentation, budgets, contact lists, and access to student engagement platforms; assist with leadership training for officers, members, and advisors. (20%)
- Manage the commencement communication software program. Create communications, sort through and upload student graduate data to the platform, facilitate reminder calls, order printed materials and supplies, and oversee the software program on the night of commencement. 15%
- Produce and support departmental programming and special projects, including development of promotional and instructional materials; assist with coordination of the annual Student Handbook revision in collaboration with Marketing and Communications. (10%)
- Assist with onboarding, training, and ongoing support of student employee hires. (5%)
- Serve as a co-advisor of the Student Judicial Board. 5%
- Manage departmental email inboxes and respond to inquiries related to Student Life programs, Commencement, Lyft, and the Caring Closet; coordinate with appropriate colleagues to resolve issues. (10%)
- Perform job-related duties as assigned.
Supervision Received
Functional supervision is received from Coordinators of Student Life (DP and SK). Administrative supervision is received from Sr. Manager of Student Life and Campus Inclusion.

Functional supervision is exercised over Student Employees
Job Requirements:
Qualifications and Working Conditions
- Associate's degree or an equivalent combination of training and experience from which similar ability can be acquired is necessary.
- Two years general office experience with one year of responsible general administrative and office support services is necessary. Experience in higher education is preferred.
- Ability to utilize a keyboard to enter, retrieve and manipulate data is required. Intermediate level of word processing (Microsoft Word preferred) and intermediate spreadsheet application (Microsoft Excel preferred) skills are required.
- A high level of interpersonal and communication skills and the ability to deliver services in an environment where there is an emphasis on customer service is required. Ability to interact professionally and tactfully with people of different levels of education, cultural backgrounds, and life experiences, and to exhibit a high level of respect to fellow employees and the College community at large.
- Strong ability to multitask and prioritize is required
- Previous writing experience is preferred.
- Mobility to move from building to building on-Campus and to visit off-Campus entities. Work is performed in a general office environment and is generally sedentary in nature. Little or no exposure to adverse working conditions.
- Ability to work flexible hours at both the Des Plaines and Skokie campuses and off site locations, including evening and weekend hours, consistent with Student Life and Campus Inclusion needs
Physical Demands:
Light lifting to 10 lbs. and light carrying up to 10 lbs. Ability to reach above the shoulder. Periods spent sitting, standing, walking, kneeling, bending, and stooping. Mobility to move between campuses and off campus partner sites. Work is performed in a general office environment and is sedentary. Little or no exposure to adverse working conditions.
Additional Information:
HOURS: Monday - Friday 8:30 am - 5:15 pm
SALARY: The hourly salary of this position is $22.68 which equates to $45,698 annualized based on Oakton's summer hours schedule.
Based on the needs of the college and with Administrator approval, some positions at the college may have a hybrid schedule option available after 30 working days.
