<span style="font-family: Arial"><h2 style="text-align: center">RIM Specialist Facilities & Services</h2><h3 style="text-align: center">Engineering Services</h3><br><h4>Job Summary</h4>Under general supervision of the Facilities Information Management Coordinator this position is responsible for managing the Records & Information Management Center (RIMC) in Facilities Information Resources (FIR) in support of Facilities & Services (F&S) at the University of Illinois, Urbana Campus. The Records & Information Management Specialist is responsible for the effective and efficient management of records and information related to the University of Illinois built environment, and effectively addressing the needs of F&S, campus, and other stakeholders.<h4>Duties & Responsibilities</h4><ul><li>Manage physical and digital materials acquisition, classification, organization, use, maintenance and access for the RIMC, including (but not limited to) regular accessioning of completed project documentation, maintaining industry codes and standards reference materials, and increasing the digital accessibility of the various RIMC collections.</li><li>Assist F&S, University personnel, contracted entities, researchers and others with reference/research inquiries.</li><li>Hire and supervise RIMC students.</li><li>Manage RIMC goals, policies, procedures, long-range planning, and relationships.</li><li>Assess information needs and develop information plans that address these needs.</li><li>Provide RIMC resources user training.</li><li>Share in department Shared Administrative Tasks as required, including responding to Freedom of Information Act, Subpoena, and other requests as needed.</li><li>Work closely with University Archives to ensure research support and long- term retention of the history of the University’s built environment. Serve as liaison between F&S units and the University’s Records Information Management Services (RIMS) as related to state approved records retention plans.</li><li>Promote resources and services of the RIMC.</li><li>Understand and manage sensitivity and security issues surrounding data.</li><li>Assume appropriate related additional duties to further the mission of the unit.</li></ul><br><h4>Physical Demands</h4><li>Ability to stand or sit for long periods of time. : Frequently </li><li>Ability to lift 50lb boxes, and manipulate fragile, large format objects. : Frequently </li><br><h4>Working Conditions</h4><li>Occasional visits to unconditioned or dusty non-office environments (such as basements, storage rooms, or storage facilities) are necessary. : Occasionally </li><br><h4>Additional Physical Demands</h4>“In my daily contacts with co-workers, directors, supervisors, foremen and staff of Facilities & Services as wells as various other campus entities, I will value, and support other employees and customers in a manner that helps ensure that everyone is treated with mutual respect. Any one or combination totaling three (3) years (36 months) from the categories below:</p><p><span style="white-space: pre"> </span>A. Coursework in administrative sciences, business administration, or a closely related field, as measured by the following conversion table or its proportional equivalent:</p><ul><li>30 semester hours equals one (1) year (12 months)</li><li>Associate’s Degree (60 semester hours) equals eighteen months (18 months)</li><li>90 semester hours equals two (2) years (24 months)</li><li>Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)</li></ul><p><span style="white-space: pre"> </span>B. Work experience in the management of records systems and micrographics technology.</p><p>2. Two (2) years (24 months) of work experience in the administration and management of records systems.</p><h4> Preferred Qualifications</h4><p>Master’s in Library & Information Science or comparable data management field.<br><br>Architectural, engineering, construction management, facilities management, library, legal records management, and archival work experience.</p><h4>Knowledge, Skills and Abilities</h4><ul><li>Proven ability to understand needs of both users and data managers (including technology services) and work seamlessly with both</li><li>Knowledge of database design and function</li><li>Knowledge of physical and digital data management best practices</li><li>Experience managing large physical and digital collections</li><li>Experience managing large scale digitization projects and processes</li><li>Proven ability to serve varied user groups</li><li>Extraordinarily customer service oriented</li><li>Cataloging, indexing, thesauri use and creation experience</li><li>Ability to encourage collaboration and data sharing among others.</li><li>Excellent organizational skills</li><li>Excellent analytical skills</li><li>Excellent time management skills, with an ability to identify and focus on priorities</li><li>Excellent verbal and written communication skills</li><li>Both detail and high level oriented</li><li>Ability to explain complicated or unfamiliar concepts in a clear manner</li><li>Ability to understand what someone is looking for and translate that to where the information may be located</li><li>Must enjoy the challenge of critically assessing, organizing, managing and using constantly changing, complex, and numerous types of data, while meeting multiple deadlines</li></ul><h4>Appointment Information</h4><p>This is a 100% full-time Civil Service 4555 - Records Management Officer position, appointed on a 12-month basis. The expected start date is as soon as possible after <strong>05/01/2026</strong>. The budgeted salary range is $60,000 - $77,500.
